Privacy statement

Stichting Talent East Academy processes personal data of students, parents, volunteers, donors and website visitors. This statement explains which data that is, why we process it, how long we keep it and what rights you have.

1. Who we are

Stichting Talent East Academy (TEA), with its registered seat in Haaksbergen and offices at Hoge Bothofstraat 39, 7511 ZA Enschede, registered with the Dutch Chamber of Commerce under number 95011382, is the controller within the meaning of the General Data Protection Regulation (GDPR). 2. Which data we process

Website visitors: through the forms on this website we receive your name, email address, optionally your phone number and the content of your message. The website keeps no visitor statistics and sets no cookies.

Students and parents: on sign-up we process name, date of birth, school, year and level, contact details and — for students under 16 — the name and contact details of a parent or guardian. During tutoring we record attendance and progress per subject.

Volunteers: name, contact details, education or field, availability and, for those working with minors, the Dutch certificate of conduct (VOG). For a volunteer allowance, bank details as well.

Donors and partners: name, contact details, organisation and the data needed to administer a gift (amount, date, bank account number).

Images: photos and videos of activities, only with consent (see point 8).

3. Purposes and legal bases

We process data to: (a) answer your question or registration; (b) place and tutor students; (c) onboard and schedule volunteers; (d) administer gifts and thank donors; (e) comply with legal obligations such as the retention duty for administration; (f) communicate about our activities.

The legal bases are: performance of a contract or of your request (Article 6(1)(b) GDPR), a legal obligation (c), our legitimate interest in functioning as a foundation and maintaining contact (f) and, for images and news items, your consent (a). You can withdraw consent at any time.

4. How long we keep data

Messages via the website: no longer than twelve months after the last contact.

Data of students and volunteers: as long as you are involved with TEA, and afterwards for a maximum of two years so we can invite you to the alumni network or a reunion day — unless you tell us you do not want that.

Financial and administrative data: seven years, in line with the Dutch fiscal retention duty.

Images: as long as consent applies. After withdrawal we remove the material from our own channels as soon as reasonably possible.

5. Who we share data with

We do not sell data and do not share it with third parties for their own purposes. We do use service providers that process data for us: Vercel (website hosting) and Hostinger (email). Form messages are delivered as email to our own mailbox. Processing agreements or their standard GDPR terms apply to these parties.

Data may be shared with the tax authority or other bodies where the law requires it, and with a school or parent only at the request of the student or parent themselves.

6. Security

The website is served encrypted (HTTPS), sets no tracking cookies and loads no third-party scripts. Personal data is kept in password-protected environments accessible only to board members and the lesson coordinator. Paper registration forms are kept in a locked cabinet. Volunteers sign a confidentiality agreement about what they learn about students.

7. Minors

A large part of our students are under 16. For them we ask consent from a parent or guardian at sign-up before we process data. Parents can view, correct or have their child's data deleted via info@stichtingtea.com.

8. Photos and videos

During lessons and outings, photos or videos are sometimes taken for our website, newsletter and social media. We publish recognisable images only with written consent — for students under 16, from a parent or guardian. Consent can be withdrawn at any time; we then remove the material from our own channels. No one is excluded from activities for not consenting to photos.

9. Your rights

You have the right to access, correct or delete your data, to restrict processing, to object to processing based on our legitimate interest, and to receive your data in a common file format (data portability). You can withdraw consent at any time.

Send requests to info@stichtingtea.com. To be sure the request comes from you, we may ask for confirmation. We respond within one month.

10. Complaints

If you are unhappy with how we handle your data, please tell us first; we would like to resolve it together. You also always have the right to lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) via autoriteitpersoonsgegevens.nl.

11. Changes

We may amend this statement, for example when our activities or the law change. The current version is always on this page, with the date of the last change at the bottom. For substantial changes we also inform students, parents and volunteers directly.
